www.selaris.ca (the "Site") is owned and operated by Selaris Web Media Inc. ("Selaris", "we", "us"), a website design and digital marketing company in Edmonton, Alberta. This Privacy Policy explains what personal information we collect through the Site, how we use it, who handles it, and the choices you have.

We handle personal information in accordance with Alberta's Personal Information Protection Act and, where it applies, Canada's Personal Information Protection and Electronic Documents Act. Our privacy officer is Cory Vyse, who can be reached at (780) 484-9944.

Information we collect

Information collected automatically

When you visit the Site, we may automatically collect:

Your IP address;
The pages and content you view, and the links you click; and
Basic device and browser information.

Information you give us

When you submit an inquiry through our Contact Us page, we collect the details you provide, which may include:

Your first and last name;
Your email address;
Your phone number;
Your address; and
Anything else you include in your message.

Information collected through the chat assistant on the Site is described in the next section.

Chat on our website

Our website has a chat assistant that answers questions using information we have provided, and can put you in touch with our team. The chat is a service we built and operate ourselves ("Chat by Selaris"). This section explains what the chat collects, how it is used and who handles it.

What the chat collects

The messages you send and the replies you receive, with the time of each message.
Any rating you give an answer (thumbs up or down).
If you choose to leave your contact details: your name, email address, phone number (if you choose to give it) and your message.
If you ask us to call you back: your name, phone number and what the call is about.
If you ask for a copy of the chat by email: your email address, which you confirm with a one-time code.
The page you were on when you started chatting (its address and title), your type of device (phone, tablet or computer), your time zone, and your approximate location (city and region), estimated from your internet connection.

The chat itself does not record your IP address, and it does not use cookies or advertising trackers.

How we use it

To answer your questions, and to continue the conversation if you come back.
To connect you with a member of our team, and to follow up when you have asked us to. When you ask for a person or leave your details, a short AI-written summary of the conversation may be prepared for our team.
To review conversations so we can improve the answers and the information the assistant uses.
To keep the chat secure and prevent misuse. For this, your network address is used briefly and is not stored.

Who handles your information

Our team at Selaris Web Media Inc., who operate the chat service and can read chat conversations. Conversations are stored in Canada, and messages and contact details are encrypted.
Anthropic, which provides the AI model (Claude) that writes the replies: your messages and the recent conversation are sent to it to write each reply.
OpenAI, which helps the assistant find the right information: your messages are sent to it for that search.
Amazon Web Services, which sends emailed copies of chats and confirmation codes.
Cloudflare, which protects and delivers the chat service: your connection passes through it.

Anthropic, OpenAI, Amazon Web Services and Cloudflare may process information outside Canada, including in the United States, where it may be subject to the laws of that country. Under their business terms, the AI providers do not use chat content to train their models.

How long we keep it

Chat conversations, including any contact details left in them, are deleted automatically 30 days after the last message.

On your device

The chat saves a random identifier and a few preferences in your browser's storage, so it can keep your conversation as you move between pages or come back later. It does not use cookies.

Your choices

Please do not share sensitive personal information, such as health or financial details, in the chat.
You can permanently delete your conversations at any time with "Delete my chat data" in the chat's menu (this also removes any email address you confirmed).
To ask for a copy of the information from your chats, or to have it corrected or deleted, contact us using the details in this policy.

How we use personal information

We use the information we collect only for the purposes described in this Privacy Policy:

To respond to inquiries and communicate with clients and prospective clients;
To provide our services;
To understand how the Site is used and improve its content and performance; and
To keep the Site secure and prevent misuse.

We will not use your information for a new purpose without telling you first.

Cookies and analytics

A cookie is a small file that a website stores in your browser. You can block or delete cookies in your browser settings, although some parts of the Site may not work as well if you do.

The Site may use the following types of cookies:

Analytical cookies, which show us how visitors reach and use the Site, such as the pages viewed and the time spent on them, so we can improve its design and content.
Targeting and third-party cookies, which are set by other companies and may be used to measure our advertising and show ads that are relevant to your interests.

We use Microsoft Clarity to see how visitors use the Site, including pages viewed, clicks and scrolling. Microsoft collects and processes this information on our behalf and may also use it under its own privacy statement.

Who we share personal information with

We do not sell your personal information. We share it only as follows:

Our team. Members of our organization who need the information to carry out the purposes in this Privacy Policy.
Service providers. Companies that help us run the Site and its features, including Microsoft (analytics) and the chat providers listed above. Some of them process information outside Canada, including in the United States, where it may be subject to the laws of that country.
Legal reasons. Where the law requires it, where it is needed for a legal proceeding, or to establish or protect our legal rights.
Sale of the business. To a buyer or prospective buyer if we sell or transfer the company, subject to confidentiality.

If you follow a link from the Site to another website, that website's own privacy practices apply. We are not responsible for them.

How long we keep personal information

We keep personal information only as long as we need it for the purposes described in this Privacy Policy, or as long as the law requires, and then delete or anonymize it. Chat conversations are deleted automatically after 30 days, as described above. You can ask us to delete your information sooner at any time.

How we protect personal information

The Site uses encrypted connections (HTTPS), and we store information on servers in secure facilities with access limited to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable precautions to protect your information.

Your rights

You can ask us:

Whether we hold personal information about you, and for a copy of it;
How we have used it and who we have disclosed it to;
To correct information that is inaccurate or incomplete; and
To delete your information.

Where we rely on your consent, you can withdraw it at any time, subject to legal or contractual restrictions. Withdrawing consent does not affect anything we did before you withdrew it.

Visitors from the European Union and United Kingdom

If you are in the European Union or the United Kingdom, the General Data Protection Regulation (the "GDPR") or the Data Protection Act 2018 may apply to you. Selaris Web Media Inc. is the data controller. We process your personal data on the basis of your consent, to take steps you request before entering into a contract or to perform a contract with you, and for our legitimate interest in operating, improving and securing the Site.

You have the right to be informed, the right of access, the right to rectification, the right to erasure, the right to restrict processing, the right to data portability and the right to object. We have not appointed a Data Protection Officer because we are not required to under Article 37 of the GDPR.

Children

We do not knowingly collect personal information from children under 16 years of age. If we learn that we have, we will delete it as soon as possible. A parent or guardian who believes a child has given us personal information can contact our privacy officer.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in the law or in how we handle information. When we do, we will change the effective date at the top of this page. We encourage you to review this page periodically.
